NOMINATIONS AND ELECTIONS COMMITTEE CHAIR DUTIES:

  1. Review the nominations and elections rules in the ALGBTIC bylaws and the ACA nominations and elections handbook
  2. Put an article in the ALGBTIC newsletter and post on the website the announcement for election to specific offices with duties and qualifications listed
  3. Present a slate of candidates for each vacant office at the March Board meeting for Board approval. A minimum of two candidates are encourages for each office.
  4. Review all candidate applications and ensure that they are qualified to seek a specific office
  5. Follow up on candidates' deadlines for biographical information and submit to ACA


AWARDS COMMITTEE CHAIR DUTIES:

  1. Seek out nominations for the Joe Norton Award which is reserved for non-ALGBTIC members (a person or a group) who have made a significant contribution to the GLBT community. Often the recipient is a resident of the community that hosts the ACA convention. The candidate is honored at the Awards Brunch during the conference, and brunch is provided for the candidate and one guest. Add the candidate's name to the Awards section of the ALGBTIC website, arrange for the award, notify the nominee of the date and place of the award, and provide information on the recipient for award presenter.
  2. Seek out nominations for the ALGBTIC Service Award which is reserved for ALGBTIC members who have made a significant contribution to ALGBTIC and the GLBT community. The candidate is honored at the Awards Brunch during the conference, and brunch is provided for the candidate and one guest. Add the candidate's name to the Awards section of the ALGBTIC website, arrange for the award, notify the nominee of the date and place of the award and provide information on the recipient for award presenter.
  3. Seek out nominations from the ALGBTIC membership for the ACA Awards which is published in the Counseling Today.
  4. Gather information from Branches who apply to ALGBTIC for a charter and submit the information to the Board for approval. Send the approved information to the ALGBTIC Archivist/Historian.
  5. Arrange for a Branch Certificate of Charter signed by the ALGBTIC President and Past President to be given to the Branch Division President or designee at the annual Awards Brunch at ACA.
  6. Arrange for an engraved gavel for the Branch Division to be awarded at the Awards Brunch at ACA inscribed with:
    ALGBTIC of (State abbreviation)
    Chartered (Year)
    Founder(s) (Name)
  7. Invite the Branch Division President or designee to be a guest at the ALGBTIC Awards Brunch at ACA to receive their Certificate of Charter and engraved gavel.
  8. Add the new Branch Division information to the website information on Branch Division His/Her Stories


BYLAWS COMMITTEE CHAIR DUTIES:

  1. Review the bylaws annually and put discussion of the bylaws on the Board meetings' agenda
  2. Prepare any necessary changes for board review or collect any recommended changes from other members for board review using the strikethrough for deleted items and underline for added items format.
  3. Notify members of any proposed bylaws changes via the newsletter and ALGBTIC website using the strikethrough for deleted items and underline for added items format.
  4. Make sure the current bylaws are posted on the ALGBTIC website
  5. Make sure that ACA has a copy of the current bylaws

Newsletter Editor Job Description

The newsletter Editor shall be responsible for the content and preparation of the ALGBTIC News, the official newsletter of ALGBTIC. This includes soliciting items for publication, editing contributions, doing layout, and sending the finished issue to the ALGBTIC president for approval and distribution to members. A digital copy is prepared and sent to the webmaster for inclusion on the ALGBTIC website as a .pdf file.

Process:

  1. The newsletter is designated as a Summer, Fall, and Pre-Conference publication to be published July 31st, December 1st, and March 15th respectively.
  2. Regarding content, the norm has been to include the following in each issue:
    1. Letter from President
    2. ALGBTIC Leadership directory
    3. Governing Council report
    4. Membership Committee report
    5. Journal Editor report
    6. Branch Chapter Committee report
    7. Graduate Student/New Professionals Committee report
    8. Multicultural Consultant report
    9. Announcement/advertisement for upcoming ACA Conference
    10. How to join ALGBTIC Information Exchange
    11. Newsletter publication guidelines/deadlines
    12. Any other items of interest to the membership
      1. Articles, book reviews, advertisements, announcements etc.

 

  1. Upon completion of a newsletter issue, the Editor will send a .pdf version of the draft to the ALGBTIC President for approval. If no changes are needed, the ALGBTIC President will distribute the newsletter to all ALGBTIC members via email. The Editor will send a copy of the finalized newsletter to the webmaster for inclusion on the website.
  2. A complete file of past ALGBTIC division newsletters should be maintained.

Timetable:

  1. Throughout the year: Collect items that would be of interest to ALGBTIC and ACA members and that are inline with the mission and goals of ALGBTIC. Typically, this can be done by sending out via email a “Call for submissions” on the ALGBTIC and CESNET listservs.
  2. Before each publication date: Send an email to the ALGBTIC President, all Board Members, and Committee Chairs soliciting articles or updates to be included in the newsletter. Once newsletter content is layed-out, follow the procedures in “C” above.
